Operations Support

Initiate and provide weekly property file status reporting.
Consult with sellers to determine plan for property photos, staging, repairs, cleaning, signage and lockbox delivery, access requirements and marketing activities appropriate per listing.
Obtain all necessary signatures on listing agreement, disclosures, and other necessary documentation.
Coordinate showings & obtain feedback.
Provide proactive weekly feedback to sellers regarding all showings and marketing activities via email.
Work with transaction coordinator to create transaction timeline once contract is executed.
Initiate and provide daily / weekly check-in with transaction coordinator.

Administrative Function

Coordinate open houses, including scheduling, marketing, supplies, signage, visitor check-in, flyers, snacks, and social media promotions.
Schedule calendar invites for upcoming sales appointments.
Purchase and deliver closing gifts and referral gifts.
Organize documents by property in Dropbox.
Regularly obtain client testimonials for websites, social media & other marketing materials.
Coordinate and purchase office equipment, supplies, materials, etc. as needed.

Sales Support

Assist in managing CRM database and pipeline.
Track & coordinate all inbound leads from websites, social media & other online sources including lead and pipeline follow-up.
Coordinate and deliver pop-byes to Clients and Referral partners.

Marketing Coordination

Create, order, and distribute marketing materials electronically and via handwritten mail.
Coordinate client & vendor appreciation events.
Coordinate listing and open house flyers, graphics, signage, electronic sign-in, and other materials needed.
Coordinate social media posts, reels, and videos and share on Facebook, Instagram, and LinkedIn.
Coordinate, schedule, and produce weekly video content targeting client database.
Regularly assist agent to manage & enhance agent’s online presence including running ads on social media accounts, managing agent website(s), blog(s) and online listings.
